We do not collect personally identifying information about you when you visit our site, unless you choose to provide such information to us - providing such information is strictly voluntary. This policy is your guide to how we will handle information we learn about you from your visit to our website.

We collect and store information through Google Analytics, and use the information we collect to measure the number of visitors to the different sections of our site, and to help us make our site more useful to visitors.

Online forms and email updates

If you complete the profile update form, donation form, events registration form, subscription forms, or other forms, any personally identifying information which you provide will be used for the stated purposes. We use personally identifying information from email primarily to respond to your requests: we may forward your email to other employees who are better able to answer you questions, and may store email information on your alumni record to improve our service to you and for internal audit purposes.

What data do we look up or store from social media interactions?

We may look up alumni records and store data on them such as: source of interaction, interaction type and content if appropriate, date of interaction, username, and/or other details as necessary.

Why do we look up or store this information?

1) To verify alumni activity:

Some Cardiff University Alumni networks, like LinkedIn, are alumni-only and require verification before membership is approved. Similarly, if we ask for alumni advice on social media platforms, we reserve the right to verify that you are a graduate before publishing elsewhere. Having said this, the fact that the Cardiff Network is a connection or follower of a social media account does not constitute legal proof that the account belongs to a graduate: all employer verification requests should be addressed to  

2) For demographic data and audit purposes:

In order to continually improve on our services to alumni, we measure how many alumni are active on social media platforms; if our activities are reaching alumni audiences; and how successful these activities are.

3) To facilitate alternative methods of contact:

We record social media presence to estimate how many alumni can we contact via a specific platform for alumni and development purposes: for example, if we are running a class reunion and don’t have your email address, we might be able to send you a direct message from Twitter or Facebook instead.

How can I see the information you record about me?

All data collected through Cardiff University Alumni social network platforms is stored and processed securely in strict accordance with the Data Protection Act 1998. You can request a copy of your information from the Data Officer and may request that certain non-statutory information is removed from your alumni record too: contact us

Opt out or update details

You can update your subscriptions online, or by contacting us in writing. There are certain details on the alumni database which cannot be removed for statutory reasons. If you write to us asking to be removed from our records, we can remove your contact details and list you as 'opted out'; we will also review all other data on your file and remove anything which is not necessary for legal or statistical purposes. Your request will also be recorded to stop us from trying to find you during our 'lost alumni' programmes.
